Kje račun nastane in kdo ga potrdi? Kako se poveže z naročilnico, pogodbo in dobavnico? So šifranti artiklov, stroškovnih mest in kontov dovolj urejeni za samodejno knjiženje? Kje bomo deset let hranili izvirni e-račun?

Scanning is not digitalisation
When a business replaces paper invoices with PDFs and scans, it may feel that it has digitalised its operations. But digitalisation is not measured by whether a document is on paper or in a file. It is measured by whether data moves through the business without manual re-entry.
A PDF is essentially an image of an invoice. A person can read the supplier, amount and payment due date, but a computer cannot do so reliably. Someone therefore has to enter the information manually into accounting software. Optical character recognition (OCR) software can also read it, but a person still has to check the result. The invoice then travels from colleague to colleague by email, with a note saying “OK to pay”; accounting staff post it manually and finally save it in a folder on a drive. The paper has disappeared, but every step remains. This is electronification, not digitalisation.
An e-invoice, by contrast, is first and foremost a data record; the image is merely its visual representation. The tax identification number, line items, VAT, purchase order reference and IBAN are held in separate fields. The system can automatically compare them with the purchase order and goods receipt, suggest a ledger account and cost centre, and prepare a payment order. A person only needs to approve exceptions that do not match. That is digitalisation: data drives the process, rather than people manually moving it along.
How can you tell that a business has only made its processes electronic? The first sign is invoice approval by forwarded email. The second is manual entry into the accounts, or OCR that is not linked to an order. The third is an archive that cannot establish who changed what and when.
From 1 January 2028, the Electronic Invoices Exchange Act (ZIERDED) will remove the first sign by prohibiting invoice exchange by email. The other two problems will remain unless businesses address them themselves. A business that receives an e-invoice in 2028, converts it into a PDF and emails it around for approval may comply with the legal requirements for exchanging invoices, but will not have digitalised its operations.
That is precisely why 2027 is an ideal time to think ahead. Since businesses will have to change some of their processes anyway because of e-invoicing, they should also consider comprehensive digitalisation: from ordering and receipt of goods or services through approval, posting and payment to archiving. Putting the same effort into the entire process creates substantially more value than merely changing the invoice format.
The same applies to artificial intelligence, which more and more companies are considering today. AI cannot replace digital processes; at most, it can improve them. A business unwilling to redesign manual processes as digital ones cannot yet seriously consider implementing AI. Where invoices still circulate as PDFs by email and are retyped manually, AI would merely automate existing confusion faster. The sequence is therefore clear: first, well-organised digital processes and structured data; only then AI to build on them. E-invoices are a natural first step.
Before making the transition, it is worth answering several questions. Where is an invoice created, and who approves it? How is it linked to the purchase order, contract and delivery note? Are the item, cost-centre and account master data sufficiently organised for automatic posting? Where will we store the original e-invoice for ten years?
At S-TEAM, we recommend organising your processes before the legal deadline. We can help you review an invoice’s journey from creation to archiving and develop a plan so that e-invoices genuinely save time.
